The routine
Each week, open invoices are prioritized, follow-up drafts are prepared, and outcomes are tracked. A person approves drafts in a single pass before anything goes out.
AI services for subcontractors & general contractors
The follow-ups, paperwork, and tracking a project coordinator would handle — run by AI, overseen by someone who’s done the job.
Punchlist Crew takes the repeatable office work off your plate: collections follow-up, customer status updates, bid intake, COIs and compliance paperwork. We work from the exports and tools your team already uses. No new software to learn. No tech jargon.
Sheet 01 — How we work
We understand construction: the jobs, the paperwork, the follow-up, and the people stuck in the middle of it. Our onboarding and discovery process is built for subs and small GCs: map the office’s recurring workflows, then automate the ones that repeat.
We sit down with your team and map the recurring work that moves through your office each week.
Double entry, manual follow-ups, and the root causes behind recurring problems go on a punch list.
We agree with you on which items are worth tackling, and in what order.
We set up AI-assisted workflows for the repeat work, built around your current CRM and systems.
Your team stays in charge of decisions. We check what’s working and adjust.
We start with what you already use
Sheet 02 — One example
We built and run a weekly collections routine for a materials testing firm with about 500 open invoices. It works from their own aging export and customer list: prioritized follow-ups, prepared email drafts, and outcome tracking, with one 20-minute approval pass on their end each week. In the first eight weeks, it helped collect more than $260,000 in past-due receivables, and it’s on pace for $1.5M+ a year.
The routine
Each week, open invoices are prioritized, follow-up drafts are prepared, and outcomes are tracked. A person approves drafts in a single pass before anything goes out.
The root cause
The follow-up work showed why receivables were stalling in the first place: unsigned proposals and missing certificates of insurance (COIs) at job start. We turned that into a change to their intake process.
One client example, not a typical or guaranteed result. The annual figure is a projection based on results so far, not money already collected. What any workflow change delivers depends on your business, your customers, and where you’re starting from.
Sheet 03 — Working together
Some contractors want us to take a workflow off their plate. Others want it set up so their own people can run it. We fit the work to your company’s size, your team, and how involved you want to be.
Sheet 04 — Who’s behind this
Ten years in construction — field inspector, estimator, project manager, Director of Construction, Building Inspection Manager.
Construction runs on paper, phone calls, and people who’ve done it a long time. The tech built for it is mostly made by people who haven’t. Punchlist Crew sits in that gap: the office work gets automated, but by someone who knows what a pay app is, why the COI matters, and which follow-up can’t wait until Monday.
Sheet 05 — FAQ
Our starting point is the CRM and tools you already use. The goal is to make your current setup work harder, not to move you onto something new. If we think a change would genuinely help, we’ll tell you why and let you decide.
Practical, repetitive work: sorting and prioritizing, preparing drafts, pulling information together, and keeping track of what happened. Your people still make the calls.
In our current engagements, a person reviews follow-up drafts before they go out. In the collections example above, that’s one 20-minute approval pass a week. We set up who reviews what with you.
With a conversation about how your office runs and where time is going. From there, we’ll walk through your workflows and suggest where to start.
We can’t promise a number. Results depend on your business and where you’re starting from. What we can promise is a clear look at where time is going and an honest recommendation on what’s worth fixing.
Pricing depends on scope and how involved you want us to be. We’ll go over it once we understand your business.
